Overview
Teams are shared workspaces in Spreeflo. A team owns everything you work on — audiences, contacts, tags, segments, forms, campaigns, journeys, templates, sending domains and its own subscription — and the people you invite into that team work on it together.
Here are the key things to know about teams.
How teams work
Think of a team as a workspace with its own set of data. When you're working in a team, everything you see in the dashboard — the contacts in your audience, the campaigns you send, the forms you embed — belongs to that team and is visible to every member of it. Nothing is shared between teams: switching teams gives you a completely separate set of audiences, campaigns and reporting.
The team you're currently working in is called your active team. Its name is shown at the top of the sidebar, together with a tag for the role you hold in it.
Roles and permissions
Every member holds exactly one role in each team they belong to.
Viewer
Read-only access to the team's data. Viewers can open campaigns, forms, contacts and reports and see everything the team is doing, but they can't create, edit or delete anything.
Editor
Everything a viewer can do, plus day-to-day work: creating and editing campaigns, journeys, marketing and transactional emails, forms, templates, contacts, tags and segments, and acting on conversations in the inbox. Editors can also change the AI content settings that feed copy generation — the team description, your role and the tone of voice.
Editors cannot manage members or invites, create or delete audiences, add sending identities and domains, or touch billing.
Admin
Full access to the team. In addition to everything an editor can do, admins can rename the team, invite and remove members, change member roles, create and delete audiences, manage sending identities and domains, add the team's OpenAI API key, manage the subscription and invoices, and delete the team.
A team must always keep at least one admin. Spreeflo will block the last admin from being demoted, removed or leaving — promote someone else to admin first.
Switch between teams
Click your team name at the top of the sidebar to open the team menu. The Teams dropdown lists every team you belong to along with your role in each one; if you're in a lot of teams, start typing to search. Choosing a team makes it active and reloads the dashboard with that team's data.
Create a team
Open the team menu in the sidebar and click New next to Teams. Give the team a name of at least two characters and confirm. You'll be the admin of the new team, and Spreeflo will ask a couple of quick questions about it so AI-generated copy matches your brand from the start — you can skip this and fill it in later under Account > Team > AI Settings.
A new team starts empty and on the free plan. Contacts, campaigns, domains and subscriptions are not copied over from any other team you're in.
Invite members
Admins invite people from Account > Team > Members. Click Invite Member, enter their email address and choose the role they should join with. They'll receive an email with a link to join the team.
The Invites tab shows every invitation you've sent and its status: Invited (waiting to be accepted), Accepted, Revoked or Expired. From there you can Revoke an invite that's no longer wanted, or Resend one that expired or never arrived. Resending invalidates the old link and sends a fresh one, so the recipient should always use the most recent email.
Accept an invitation
Open the link in your invitation email. You'll see who invited you, which team you're joining and the role you'll hold. If you're not logged in yet, log in or create a free account first — you'll come back to the invitation automatically. Click Accept Invitation and Spreeflo switches you into the team.
If the link no longer works, the page will tell you why: the invitation has expired, was revoked by an admin, or has already been used. In each case, ask a team admin to send you a new one.
Invitations addressed to your account also appear on the create-or-join screen you see when you don't belong to any team, so you can accept them there without hunting for the email. An invite that was forwarded to you by someone else won't be listed — use the link itself.
Manage members
Account > Team > Members lists everyone with access to the team, their role and when they joined. Every member can see this list; only admins can change it.
You can't change your own role or remove yourself from this list — use Leave Team on the Overview tab instead. Removing or demoting the team's only admin is blocked.
Team settings
Account > Team > Overview shows the team's name, how many members it has and when it was created. Admins can rename the team here; the new name appears everywhere the team is shown, including the switcher.
The AI Settings tab holds settings that belong to the team rather than to you: what the team does, the role you play in it, its tone of voice, and an optional OpenAI API key. These feed Spreeflo's AI copy generation, so everyone in the team gets consistent output. Editors and admins can update the content fields; only admins can set the API key.
Note: Because these settings live on the team, changing them affects every member — and switching teams gives you a different set of them.
Billing per team
Each team has its own subscription, contact allowance and invoices. Upgrading one team doesn't upgrade the others you belong to, and the plan badge in the sidebar always reflects the team you're currently working in.
Only admins can see and manage billing. Members with the viewer or editor role won't see the Subscription tab, pricing pages or upgrade prompts for that team.
Leave or delete a team
Both actions live in the Danger Zone at the bottom of Account > Team > Overview.
Leaving a team removes your access to it immediately. The team, its data and its subscription stay with the remaining admins — leaving doesn't cancel billing and isn't refunded — and you'll need a new invite to return. If you're the last admin you can't leave; promote another member to admin first, or delete the team.
Deleting a team is permanent and is available to admins only. It removes the team for everyone and cancels its subscription. Spreeflo will ask you to delete the team's audiences, campaigns and forms first, so a team that's still holding data can't be removed by accident.
If you leave or delete your only team, you'll land on the create-or-join screen and can start a new team or accept a pending invitation.
